2. About Our Services

Ionix Grid Malaysia provides professional wedding photography services throughout Malaysia, specializing in tropical wedding photography. Our services include:

• Wedding ceremony photography
• Portrait sessions and pre-wedding shoots
• Reception coverage and event documentation
• Post-production editing and digital delivery
• Custom photography packages

3. Booking and Contracts

3.1 Booking Process

To secure our services, clients must:

• Submit a completed booking inquiry through our website or direct contact
• Sign a written photography contract
• Pay the required deposit as specified in the contract

3.2 Contract Terms

All photography services are subject to a separate written contract that will include:

• Specific service details and deliverables
• Photography timeline and schedule
• Payment terms and conditions
• Cancellation and refund policies
• Usage rights and image licensing

4. Payment Terms

4.1 Deposit and Payment Schedule

• A non-refundable deposit of 50% is required to secure your booking date
• The remaining balance is due 30 days before your wedding date
• Additional services or overtime charges are due within 30 days of invoice

4.2 Accepted Payment Methods

We accept bank transfers, cash, and certified cheques. All prices are quoted in Malaysian Ringgit (MYR) and are inclusive of applicable taxes unless otherwise stated.

4.3 Late Payment

Late payments may result in additional charges and could affect service delivery. We reserve the right to withhold final images until full payment is received.

5. Cancellation and Refund Policy

5.1 Client Cancellation

• More than 90 days before event: Deposit is forfeited, remaining payments refunded
• 30-90 days before event: 75% of total package price forfeited
• Less than 30 days before event: 100% of package price forfeited

5.2 Photographer Cancellation

If we must cancel due to illness, emergency, or circumstances beyond our control, we will:

• Provide a qualified replacement photographer when possible
• If no replacement is available, provide a full refund
• Not be liable for any additional costs or consequential damages

6. Image Delivery and Usage Rights

6.1 Delivery Timeline

• Preview gallery: Within 7 days of your event
• Final edited images: Within 6-8 weeks of your event
• All images delivered via secure online gallery

6.2 Image Rights and Usage

Clients receive personal usage rights for all delivered images, including:

• Printing for personal use
• Sharing on social media with proper credit
• Distribution to family and friends

6.3 Photographer Usage Rights

Ionix Grid Malaysia retains the right to use images for:

• Portfolio and marketing purposes
• Website and social media promotion
• Photography competitions and exhibitions

Clients may opt out of marketing usage by requesting in writing.

7. Limitation of Liability

Our liability is limited to the total amount paid for photography services. We are not liable for:

• Missed shots due to obstructed views or poor lighting
• Technical failures beyond our control
• Images lost due to equipment failure (though we maintain backup systems)
• Consequential or indirect damages
• Events beyond our reasonable control (force majeure)

8. Client Responsibilities

Clients are responsible for:

• Providing accurate event details and timeline
• Informing us of any special requirements or restrictions
• Ensuring venue access and necessary permissions
• Providing vendor meals if service exceeds 6 hours
• Coordinating with other vendors for optimal photo opportunities

9. Weather and Outdoor Events

For outdoor photography sessions and events:

• We monitor weather conditions and will communicate any concerns
• Clients should have indoor backup plans for extreme weather
• We will work with available conditions but cannot guarantee specific weather outcomes
• Rescheduling due to severe weather may incur additional fees

10. Equipment and Backup

We maintain professional-grade equipment and backup systems:

• Multiple camera bodies and lenses
• Backup memory cards and batteries
• Professional lighting equipment
• Immediate backup of images during events

11. Conduct and Cooperation

We expect mutual respect and cooperation. We reserve the right to terminate services without refund if:

• Clients or guests behave in a threatening or inappropriate manner
• Venue restrictions prevent us from performing contracted services
• Clients fail to provide necessary access or cooperation

12. Privacy and Data Protection

We respect your privacy and handle personal information in accordance with our Privacy Policy. Client information is kept confidential and used only for service delivery and legitimate business purposes.

13. Modifications to Terms

We may update these Terms from time to time. Changes will be posted on our website with an updated effective date. Existing contracts remain subject to the terms agreed upon at the time of signing.

14. Dispute Resolution

Any disputes arising from these Terms or our services will be resolved through:

• Initial good-faith negotiation between parties
• Mediation if negotiation fails
• Arbitration under Malaysian law if mediation is unsuccessful

15. Governing Law

These Terms are governed by Malaysian law and subject to the exclusive jurisdiction of Malaysian courts. If any provision is deemed invalid, the remaining provisions remain in full effect.
